Incoming New

From a pile of paper to the right record. Automatically.

Scan referrals, letters and record copies straight into Kaddio. Kaddio reads the documents with OCR and AI, links them to the right person – or creates a new one – and has everything ready for you to approve. No more manual sorting, hunting for identity numbers or retyping.

How it works

Four steps. You do two of them.

You scan and approve. Kaddio does everything in between – and nothing reaches the client until you say yes.

  1. Step 1

    Scan

Put the stack in the scanner or take a photo with your phone. The documents go straight into Kaddio.

  2. Step 2

    Kaddio reads

OCR and Kaddio AI read every page, split the stack and understand what is what.

  3. Step 3

    Right client

The personal identity number is matched against your clients. If the person is not there, a new client is created.

  4. Step 4

    Approve

Review the document and the filled-in fields side by side. One click – done.

Time saver deluxe

Spend your time on clients, not on the mail.

A referral that used to require someone to open the envelope, look up the client, create a case, retype the details and scan the attachments – is now one click away.

The whole stack at once.
Scan a whole pile of mixed documents. Kaddio understands where one referral ends and the next begins, and keeps pages about the same person together.
The right person, every time.
Kaddio finds the identity number in the document and links it to the right client. If it is a new client, one is created automatically from the referral.
The fields fill themselves.
Kaddio AI picks the right case template and fills in the fields – sender, reason for referral and whatever else you have chosen to capture.
You have the final say.
Nothing is saved to the client until you have reviewed it. See the original document and the AI's suggestion side by side, adjust and approve.
Scanner or phone.
Connect the clinic's network scanner directly to Kaddio, or photograph the document with your phone when you are away from the clinic.
Straight into Cases.
Every approved referral becomes a case linked to the client, with the documents attached. Ready to follow up, assign and book.

Stop sorting mail. Let Kaddio do it for you.

Frequently asked questions

Which documents can I scan?

Referrals, cover letters, record copies, lab results and other letters that arrive by mail. Kaddio recognises what kind of page it is and which person it concerns.

What happens if Kaddio cannot find the client?

Kaddio then suggests creating a new client with the name and identity number from the document. You see the suggestion and approve it before anything is saved.

Is anything saved automatically without me looking at it?

No. Everything that comes in lands in Incoming and waits for review. The case is only created on the client once you approve.

What scanner do I need?

Most network scanners that can send files to a web address will work. If you do not have a scanner, you can photograph the documents with your phone or upload PDF files.
